The Position: Full-Time Administrative Aide
Creative Sonoma, a division of the Economic Development
Board (EDB) is seeking a qualified individual to fill one Full-Time, contract position
as an Administrative Aide. The position
is grant-funded and has a duration of one year.
- Assist in developing and coordinating
effective office systems and streamlining all organizational operations from
communications to data management
- Provide support to the director in
scheduling, outreach, meeting and program development and execution
- Assist in preparing reports and
presentations; assist in preparation of board meeting materials (agendas,
program recaps, minutes, meeting notices, etc.)
- Provide support for workshops,
meetings and events including online invitations, registrations and check-in, presenter
and venue logistics, catering, photography, etc.
- Follow-up with administrative and
program contacts to present
front-line image to the public, constituents and partners, vendors, via phone
and reception responsibilities; build positive relationships for Creative
Sonoma through positive customer service
- Support financial transactions
through coordinating distribution and collection of contracts, invoices, etc.
- Coordinate appropriate updates to
website and other outbound communications, e.g., press releases, social media
- Track contacts and points of
service through data management programs including Excel, Constant Contact and
- Participate as a key member of the
team providing services to and making connections with the creative community
Programmatic: Arts Education,
Grants, Professional Training
- Assist in coordinating a
County-wide arts education assessment to occur during the 2016-17 fiscal year
including scheduling meetings for Arts Education Alliance (AEA) committee
meetings, distributing and tracking surveys and gathering responses, etc.
- Gather, update and make accessible
information resources regarding arts education resources for Sonoma County
schools, arts organizations, and artists
- Assist in the preparation of
agendas, reports, updates
- Coordinate creation and
dissemination of program guidelines, collect and assemble completed
applications and prepare packets for peer reviewers, etc.
The Ideal Candidate:
- Given the many facets of the position, the ideal candidate
will possess a high level of proficiency with the Microsoft Office Suite
including PowerPoint; a strong comfort level with internet research generally
and social media specifically; familiarity with Constant Contact, Survey Monkey
and Sales Force are a plus. Additionally
the ideal candidate will have strong organization and time management skills,
written and verbal communication skills, and customer relations skills. Experience and/or education in event
production, newsletter development and marketing a plus.
- Direct or related experience with K-12 education and/or arts
education (school, district, arts organizations) is a significant asset.
- Proficiency in Spanish is highly desirable.
